Client Overview
A Multinational Engineering and Technology Conglomerate
A global leader in engineering and technology, our client operates across a wide range of industries, including power generation, automotive, aerospace & defense, marine logistics, consumer products, and healthcare solutions. Their multinational footprint creates significant complexity in managing MRO data, particularly given the diversity of suppliers, manufacturers, and parts categories involved.
Project Scope
Data Cleansing, Parts Research, and Supplier Profiling at Scale
The client needed three data management workstreams handled at the same time, each with its monthly volume, accuracy benchmark, and output format.
- Data Cleansing: The client needed us to extract and structure critical data attributes, including Manufacturer Part Numbers (MPNs), supplier names, and manufacturer names from large volumes of unstructured raw data. The team was tasked with processing approximately 400K records every month while applying consistent formatting and data standards across all entries.
- Web Research and Product Data Enrichment: Our team was responsible for conducting thorough online research to source and verify product-level details, including Article Number, Manufacturer Name, Product Name, Type Code, product descriptions, URLs, E-CLASS IDs, and expiration or discontinuation status. Using manufacturer and supplier websites as primary sources, we enriched the client's unstructured input data, which typically consisted of MPNs and brief descriptions. Team4eCom was tasked with processing over 100K product records per month.
- Supplier and Manufacturer Profile Research: A third component involved identifying, verifying, and documenting detailed profiles for suppliers and manufacturers. This included gathering legal names, physical addresses, supplier and OEM status, company logos, and its holding company's details. The client required complete and accurate supplier details—8,000 records targeted for completion within a month.
Key Challenges
Managing Unstructured Data, Multilingual Content, and Strict Accuracy Requirements
The client operated in a highly data-centric MRO environment, where the volume of information, its unstructured format, and multilingual inputs created major processing challenges. Our team worked within tight timelines, strict accuracy requirements, and widespread data inconsistencies, with limited external validation support.
- Identifying and Standardizing Manufacturer Names from Unstructured, High-Volume Raw Data: The client delivered unstructured and incomplete raw data at a rate of ~400,000 records every month. The primary challenge within this data was accurately identifying and standardizing manufacturer names. Many entries did not have key indicators to distinguish brand names from generic descriptors. The only cross-referencing point available was a manufacturer’s list, which was neither comprehensive nor definitive. Given the volume and timelines involved, there was no capacity to conduct independent external validation of each entry.
- Meeting a 98% Minimum Accuracy Requirement Across All Processed Records: The client mandated a minimum accuracy threshold of 98% across all deliverables, with clear accountability for any shortfall. Every decision made during the data cleansing and research process, including brand name assignments, data addition, and record structuring, had to be consistent and well grounded. The volume of records involved meant that even a small error rate would translate into thousands of incorrect entries, making precision at scale a critical part of day-to-day execution.
- Processing and Translating MRO Data Supplied in Multiple Languages, Including German: A portion of the client's input data arrived in German, requiring accurate translation before any data processing could begin. Working with technical MRO terminology across multiple languages added a layer of complexity not present in standard data enrichment workflows. Our team used translation tools and validated the translated content to ensure that translated content accurately reflected the original intent before being populated in the required fields.
Solution Delivered
High-Volume Cleansing, Research, Standardization, and Enrichment Services For MRO Data
To address the complex data requirements, we built a team of 25 MRO data specialists, selected for their domain expertise and trained on the client's data standards, processing workflows, and quality protocols. The team operated across three parallel work streams:
- 01
Data Cleansing: Structuring, Harmonizing, and Deduplicating 400K Monthly Records
With inconsistent and unformatted input data arriving in large batches, our team implemented a systematic data cleansing process to extract, structure, and standardize key fields:
- Data Segregation: The team used Excel functions to parse unorganized short descriptions, extract key attribute values such as MPNs, product types, and supplier names, and place them into their respective columns. A dedicated team supported this work at scale to ensure timely processing.
- Manufacturer Harmonization: Manufacturer names appearing in multiple formats, abbreviations, and languages were standardized into a single consistent form using linguistic algorithms and reference databases. For example, "“Volks Wagen," VW," and "Volkswagen" were all resolved to "Volkswagen."
- Duplicate Detection: Matching algorithms were developed to identify duplicate records as per MPNs and manufacturer names. Duplicates were then removed from a dataset of more than 2 million records, significantly reducing data redundancy.
- 02
MRO Spare Part Research: Processing 100,000+ Product Records Per Month with Three-Tier QA
Our parts research work stream was responsible for sourcing and verifying detailed product attributes for over 100,000 records each month using manufacturer websites, digital catalogs, and authoritative supplier sources.
- Detailed Data Research: For each product, the team used the client-provided MPN and manufacturer name as starting points, then researched supplier and primary manufacturer resources to gather Article Number, Type Code, Product Name, E-CLASS IDs, descriptions, URLs, and expiry statuses. Content received in a foreign language was translated as required.
- Quality Assurance: A multi-tier QA process was implemented, covering initial data entry checks, peer-level review, and final sign-off. Incomplete or ambiguous entries were marked for resolution instead of being populated with estimated information.
- Template Documentation and Master Reference: Output was recorded in the client's required template format. The team also recorded additional supplier details and successor articles when such information was available. In parallel, the team built and managed a master product and brand references database to support faster data processing in the future, a process referred to internally as intelligent matching.
- 03
Supplier Data Validation: Enriching and Verifying 8,000 Manufacturer and Supplier Profiles
Our team handled the research and validation of 8000 supplier and manufacturer records within a month as a one-time assignment. The output had to meet the high relevancy and accuracy standards expected in the MRO environment.
- Data Integration and Structure Analysis: We first analyzed the client-provided raw data in standardized XLS format to develop an understanding of column layouts and information presentation. Client guidelines were referenced to resolve any inconsistencies and ambiguity during this review process.
- Data Standardization and Validation: Every record was cleaned, verified, standardized, and checked for relevance. Records were categorized as valid or invalid, with explanations provided for any unusable entry. Logo verification was also integrated into this stage, with each manufacturer's official logo cross-referenced against primary web sources.
- Supplier Enrichment and Crawlability Assessment: The team researched and updated short names, legal names, website URLs, addresses, parent company details, synonymous names, logos, and related manufacturer references. They also evaluated whether manufacturer websites supported eCommerce or webshop functionality suitable for website scraping, using official sources to verify compatibility and data reliability. The volume was managed through a dedicated specialist team and selective automation for data extraction and attribute normalization. A multi-stage review model, combining automated checks with human validation, helped maintain output quality.
