Client Overview
Multi-Site Luxury Home Furnishing Retailer Serving High-End Clients
The client operates an online business focused on luxury home furnishings and decor accessories. Its catalog includes handcrafted furniture, statement lighting, artisan rugs, and other distinctive pieces designed for refined interiors.
The business has three separate storefronts, each featuring products sourced from established home decor and furnishing brands. Positioned as a destination for interior design enthusiasts, the client combines craftsmanship curation with a visually elevated shopping experience tailored to high-end tastes.
Scope of Work
Shopify Back-Office Support Across Listing, Inventory, Orders, and Vendor Billing
The client engaged Team4eCom in 2022 to list products on the Shopify store. As the team consistently delivered quality work, the scope of engagement expanded. It eventually included dedicated support across multiple operational areas to reduce internal workload and improve process accuracy.
The scope was extended to cover:
- Inventory updates across multiple vendor catalogs.
- Real-time order processing and fulfillment coordination.
- Shipment tracking and status communication with customers.
- Vendor invoice auditing and billing reconciliation.
Project Challenges
Managing Manual Operations, Billing Discrepancies, and Time-Sensitive Processes Across Three Storefronts
The client's back-office operations relied heavily on manual execution and had limited data visibility across three storefronts. These challenges added significant complexity to the engagement.
- No Automation Across Sales Channels: The client's sales channels operated in silos, with no inventory synchronization across platforms. All order processing, shipment tracking, and stock updates were handled manually, making it difficult to maintain accuracy at scale.
- Vendor Invoice Errors Draining Revenue: Invoices from vendors, manufacturers, and drop shippers routinely contained errors—uncommunicated express delivery charges, incorrect quantities, and unexplained line items. These discrepancies were going undetected, resulting in consistent revenue losses.
- Platform-Specific Expertise Required: The project required not just familiarity with Shopify but hands-on expertise in Shopify product listing, Matrixify bulk-upload processes, and multi-storefront management.
- Round-the-Clock Operational Coverage: Order processing was time-critical, requiring immediate attention as orders arrived. The client needed coverage across time zones, making shift-based staffing a necessity rather than an option.
Our Solution
Shopify Store Support Across Listings, Inventory, Orders, and Billing
Team4eCom built a structured support model around the client's requirements, assigning 10 experienced Shopify professionals across all active workstreams. Two daily shifts ensured continuous coverage, while direct communication channels kept the client informed and closely involved.
Support was delivered across five key areas:
- 01
Shopify Product Listing
Product data was provided by client via spreadsheets, which contained titles, HTML descriptions, pricing, variants, image files, tags, and metafields. Where data was incomplete—a common occurrence—the team performed targeted product data enrichment by sourcing missing attributes from manufacturer websites and product databases.
Once the final datasets were compiled, they were uploaded in bulk using the Matrixify application.
- 02
Listing Optimization
The team crafted product descriptions that were concise and keyword-aligned and balanced SEO requirements with the elevated tone appropriate for a luxury audience. Basic product photo editing tasks such as background removal, color correction, and contrast enhancement were also performed to ensure visual consistency and quality across all product imagery.
- 03
Inventory Management
The client relied on a manual inventory management process without real-time synchronization. Our team received regular vendor inventory reports, matched stock levels to the correct products, prepared Matrixify-ready files, and uploaded them to Shopify. We also tracked discontinued items and removed listings promptly, keeping only in-stock products visible to customers.
- 04
Order Processing
All orders received through email and the client’s portal were first validated against current inventory. The team verified quantities, shipping details, and item numbers before logging each order in a master Google spreadsheet and Shopify. Backorders were actively managed by confirming ETA and ESD, updating order status, and notifying customers.
Shipment progress was tracked through the Metropolitan Portal and updated on the storefront, with vendor coordination whenever tracking details were unavailable.
- 05
Invoice Reconciliation
All invoices from manufacturers, vendors, and drop shippers were reviewed against agreed purchase terms. The team identified error types—including uncommunicated express delivery fees, quantity overbilling, and unexplained surcharges; documented each discrepancy; and compiled reconciliation reports for the client to address directly with vendors.
