The client's back-office operations relied heavily on manual execution and had limited data visibility across three storefronts. These challenges added significant complexity to the engagement.

Team4eCom built a structured support model around the client's requirements, assigning 10 experienced Shopify professionals across all active workstreams. Two daily shifts ensured continuous coverage, while direct communication channels kept the client informed and closely involved.

Shopify Product Listing

Product data was provided by client via spreadsheets, which contained titles, HTML descriptions, pricing, variants, image files, tags, and metafields. Where data was incomplete—a common occurrence—the team performed targeted product data enrichment by sourcing missing attributes from manufacturer websites and product databases.

Once the final datasets were compiled, they were uploaded in bulk using the Matrixify application.

Listing Optimization

The team crafted product descriptions that were concise and keyword-aligned and balanced SEO requirements with the elevated tone appropriate for a luxury audience. Basic product photo editing tasks such as background removal, color correction, and contrast enhancement were also performed to ensure visual consistency and quality across all product imagery.

Inventory Management

The client relied on a manual inventory management process without real-time synchronization. Our team received regular vendor inventory reports, matched stock levels to the correct products, prepared Matrixify-ready files, and uploaded them to Shopify. We also tracked discontinued items and removed listings promptly, keeping only in-stock products visible to customers.

Order Processing

All orders received through email and the client’s portal were first validated against current inventory. The team verified quantities, shipping details, and item numbers before logging each order in a master Google spreadsheet and Shopify. Backorders were actively managed by confirming ETA and ESD, updating order status, and notifying customers.

Shipment progress was tracked through the Metropolitan Portal and updated on the storefront, with vendor coordination whenever tracking details were unavailable.

Invoice Reconciliation

All invoices from manufacturers, vendors, and drop shippers were reviewed against agreed purchase terms. The team identified error types—including uncommunicated express delivery fees, quantity overbilling, and unexplained surcharges; documented each discrepancy; and compiled reconciliation reports for the client to address directly with vendors.
